SPECIFICATION

Sales Support Administrators provide administrative support to sales teams. Their duties include answering the phone and replying to emails, scheduling appointments, keeping sales records, and preparing sales contracts and agreements. They may be required to research potential customers and sales strategies.

 

Responsibilities

  • Look for new business and follow up via telephone / email on all leads
  • Get order updates from Factory
  • Inform Factory about urgent orders/special order requirements
  • Factory informs Sales which orders can be despatched on the day
  • Daily checking and updating of all invoices for the day
  • Process all customer orders received for the day (copies to be made for Factory & Admin)
  • Process all orders on stock on hand sheet
  • Delete all orders despatch on the day from stock on hand sheet
  • Daily sales report to be completed
  • Monthly sales report to be completed
  • Daily follow ups on all despatched consignments ensuring stock will be delivered on time
  • Daily POD’s to be printed and checked against invoices
  • Monthly Laser Logistics Recon to be checked and updated on Excel spreadsheet
  • Informing Laser daily on specific delivery dates, delivery requirements for specific customers
  • Ensure that all orders are processed
  • Ensure that all customers have sufficient stock
  • Day to day solving of customer enquiries/problems
  • Prepare and chase all new customer/account documentation for example: credit applications/customer forms etc.
  • Quotations
  • Keep track of stock availability
  • Revert to all customer enquiries
  • Completing supplier information/vender applications

 

Qualifications

  • A Bachelor’s Degree in Business Administration, Business Management, or a related field preferred.
  • Demonstrable experience in sales support administration, or similar.
  • Experience with sales industry software like Salesforce and Client Relationship Management (CRM) systems, or similar.
  • In-depth knowledge of administrative recordkeeping practices.
  • Familiarity with sales contracts and agreements.
  • Working knowledge of managing budgets and keeping track of sales commissions.
  • Proficiency with word processing and spreadsheet software.
  • Excellent written and verbal communication skills, as well as customer service skills.
  • Exceptional interpersonal skills and a proactive approach toward problem-solving
