This role is a Hybrid Position with the incumbent residing within the Cape Town or Johannesburg areas. 

The main purpose of this role:

The Training Support Coordinator is responsible for providing administrative and logistical support on skills development projects. This role involves learner recruitment, managing records, handling inquiries, and coordinating all aspects of the delivery of skills development programmes as well as the resources that enhance the learning experience and ensure compliance with South African educational standards, including those set by the Quality Council for Trades and Occupations (QCTO).


Key Performance Areas

KPA 1: Administrative Support

  • Maintain and update learner records and databases on LMS/CRM as per the Organisational, National Qualifications Framework (NQF), Sector Education and Training Authority (SETA), and Quality Council for Trades and Occupations (QCTO) requirements.
  • Drive the enrollment process, ensuring all required documentation is complete and accurate.
  • Prepare and distribute learning materials to learners, including updates on training schedules and assessment deadlines.
  • Ensure that all Learnership agreements are compliant with SETA/QCTO requirements.
  • Ensure learners are loaded on the Learning Management System (LMS) and the SETA/QCTO database.
  • Ensure Learnership start-up requirements are adhered to.
  • Ensure learner information is securely stored and confidentiality is maintained as per POPIA requirements
  • Generate reports on learner progress, attendance, and engagement as required by clients, SETA, QCTO, and other regulatory bodies.
  • Monitor and track learner feedback, addressing concerns and escalating issues when necessary.
  • Stay updated with the latest trends and regulations in the South African skills development and training industry.
  • Contribute to team meetings and provide input on improving administrative processes.
  • Perform other appropriate duties as assigned by the Training Lead from time to time.

KPA 2: Learner Support

  • Accountable for the processing of learner inquiries via various available channels
  • Direct learners to appropriate resources and services based on their needs, including career guidance and counselling services.
  • Train and support learners with accessing online learning platforms and tools, ensuring they are familiar with the technology.
  • Management of support staff in terms of technical support for learners utilising the LMS
  • Oversee the direction of learner wellness support

KPA 3: Program Coordination

  • Conduct learner onboarding, including recruitment, interviewing, orientation, induction, benchmark testing, and selection.
  • Assist in the planning and execution of learner support programs and initiatives, including workplace-based learning, internships and TSIBA’s proprietary leadership and self-development programmes.
  • Coordinate with and manage a database of ETD Practitioners and other departments to support learner needs and organisational outcomes.
  • Participate in the development and improvement of learner support services, ensuring they align with SETA, QCTO, and NQF standards.
  • Coordinate workplace mentoring and coaching of employed and unemployed learners.
  • Coordinate resource booking for in-person training and workshops.
  • Compile and execute timetables for each program in collaboration with the Training Lead.

Experience and Qualifications:

  • Matric certificate (Grade 12) is required; a post-secondary qualification in education, administration, or a related field is preferred.
  • Registered constituent assessor and moderator with relevant SETAs is advantageous
  • 5 years experience in Skills Development environment
