A specialist company within financial markets executive search and recruitment is seeking an exceptional, self-motivated, highly organised individual to join their small, dynamic, supportive team. The position entails a variety of tasks and projects that need to be juggled efficiently. 

DUTIES & RESPONSIBILITIES, NOT LIMITED TO: 

  • Review, understand and implement the platform for staff processes (in line 
    with the company’s standards) including:  
    • Role definitions, associated KPAs, PM process, remuneration models & incentives for the sales team 
    • Pipeline and opportunity management, including forecasting coverage for the sales team 
  • Recruit and hire the necessary individuals in line with the growth targets and objectives 
  • Ensure succession and ongoing implementation of the relevant strategy, processes and activities 
  • Assist in training and development of new and existing staff with an emphasis on personal development (including their own) 
  • Relationship code to be instilled in their team members:  
    • Embrace an action orientation sense of urgency. Do something and do it now!  
    • Champion and work towards realising the company corporate ID (Vision, Strategy, Values, Business concept and Brand promise)  
  • Internal Recruitment 
    • Project management of the selection process for in-house recruitment including:  
      • Advertising 
      • Screening 
      • Interviewing 
      • Managing the trial day process and monitoring of performance: Development of trial day process and assignments for new recruits 
      • Conducting and managing trial days 
      • Candidate performance report submitted on completion of trial days (based on set criteria and assignments) 
      • Reference checking of prospective employees 
      • Drawing up of contracts and offers of employment  
  • Training and development: 
    • Conducting and facilitating all Induction Days (refer key development areas for training and induction program)  
    • All GM training 
    • Training of new, and ongoing training of existing staff 
    • Ongoing training and development of staff  
  • Reporting: 
    • Collate all reports on sales and special projects and distribute to relevant persons 
  • Marketing: 
    • Manage the design of all special project and events marketing material as well as adverts for candidates or positions to be marketed via social media and other relevant advertising platforms to increase brand awareness.  
  • Support:  
    • Oversee the management of the Director’s diary (business and personal) 
    • Manage the taking of minutes at meetings 
    • When required respond to emails and other correspondence on behalf of the Director  
  • Maintenance: 
    • Manage and resolve all IT concerns and issues timeously and liaise with service providers 
    • Ensure all office maintenance issues are resolved 
  • Travel Arrangements:  
    • Ensure prompt execution of travel arrangements (domestic and international), requisitions, visa applications, FOREX applications, accommodation, etc 
  • Human Resources: 
    • Recruit new administrative staff and manage the complete induction and training process  
    • Monitor skills development needs/gaps and implement relevant training programmes 
    • Ensure updated knowledge of software programmes and where required provide training to staff 
  • Performance appraisals 
    • Project manage all staff performance appraisals 
    • Assist with staff appraisals including first three-month probationary reviews and ongoing annual appraisals 
    • Input during performance appraisal with regards to identification of areas of strength and weakness 
    • Assistance in setting up and monitoring action plans to improve specific areas 
  • Financial Management: 
    • Financial oversight: In conjunction with the Director and Accountant: Debtors, Creditors, and annual training reports submission 
  • Weekly meetings with MD to update on:  
    • Summary of performance figures activity standards 
    • Revenue flow: projected billings 
    • Training ideas for following week
    • Update on Recruiters client development plans/ Client visits for following week  
    • Feedback on project related tasks 
    • Feedback on Admin and IT related tasks
