Job Details

Purpose: Working closely with the Financial Manager and broader finance team, the Bookkeeper is responsible for the effective day-to-day management of the bookkeeping function. This includes the accurate recording, reconciliation, and consolidation of financial transactions, ensuring financial integrity, compliance, and timely reporting.

The role plays a critical support function in maintaining robust financial controls and enabling accurate financial decision-making.

Key Performance Areas (KPAs) & KPIs

1. Financial Reporting & Compliance Key Responsibilities: Prepare and support monthly flash reporting and management accounts Compile balance sheet files and ensure reconciliations align to General Ledger (GL) Assist with financial reporting packs and documentation preparation Support audit processes and year-end reporting requirements KPIs: 100% adherence to reporting deadlines (FM / Group FM / CFO) Accuracy and completeness of balance sheet reconciliations Audit readiness with minimal rework required

2. Bookkeeping & Financial Control Key Responsibilities: Capture cashbooks and perform bank reconciliations Maintain accurate financial records (purchases, sales, receipts, payments) Process journals, admin fees, and ITG-related transactions Support payment loading and verification processes KPIs: All reconciliations completed accurately and on time Zero unreconciled variances at month-end Compliance with internal financial controls

3. Debtors & Cash Flow Management Key Responsibilities: Conduct weekly follow-ups on outstanding debtors Ensure accurate invoicing and minimize credit notes Perform debtor reconciliations and maintain statements Engage with clients to ensure timely collections KPIs: Debtors age analysis accuracy and timeliness Reduction in overdue debtors Minimal credit note issuance due to errors

4. Creditors & Procurement Administration Key Responsibilities: Process creditor invoices, reconciliations, and payments Maintain accurate creditor records and age analysis Prepare sundry payments and support COD processes Assist with procurement processes including purchase orders Maintain supplier escalation schedules and documentation KPIs: Creditor accounts fully reconciled and accurate No unreconciled control account differences Timely and accurate payment processing Clear and accurate financial narratives (no unnecessary journals)

5. VAT, Budgets & Financial Support Key Responsibilities: Assist with VAT reconciliations and submissions Support budget preparation and forecasting processes Provide financial data and analysis to support planning KPIs: VAT reconciliations completed monthly with no discrepancies Timely contribution to budgeting processes Accuracy of supporting financial data

6. Stock, Fixed Assets & Audit Support Key Responsibilities: Coordinate stock, scaffolding, and fixed asset counts Prepare count sheets and capture results Maintain fixed asset documentation and approvals Support audit requirements and year-end schedules KPIs: Accurate stock and asset records Completion of counts within deadlines Full audit compliance with minimal findings

Minimum Requirements

Education Matric (Grade 12)

Certificate or Diploma in Bookkeeping (NQF aligned) – Advantage Experience

Minimum 3 years’ experience in a bookkeeping role

Proven experience managing financial records and reconciliations

Hands-on experience with accounting systems and spreadsheets

Technical Knowledge

Strong understanding of bookkeeping and accounting principles

Basic knowledge of IFRS and financial compliance Proficiency in MS Excel (Advanced)

Experience with accounting systems (e.g. MS Dynamics AX or similar)

Exposure to audit processes and financial reporting
