Role Summary
This critical role combines executive PA support for the CFO with comprehensive office management, ensuring flawless operations in a high-pressure retail head office. The ideal candidate is a mature, ultra-organized professional who multitasks effortlessly, anticipates needs, and upholds the highest standards of professionalism.
Key Responsibilities
Executive PA Duties for CFO

Provide proactive personal assistant support, including advanced diary management to optimize the CFO’s schedule across meetings, calls, and deadlines.

Coordinate all travel arrangements, from domestic flights and accommodations to international logistics, with meticulous attention to detail and cost efficiency.
Office Management & Administration

Oversee all office operations, including liaising with the landlord on lease matters, maintenance, and compliance.

Ensure timely payment of all bills, utilities, and vendor invoices to avoid disruptions.

Manage cleaning services, scheduling staff and monitoring standards for a pristine executive environment.

Maintain all office equipment, including video conferencing (VC) systems, printers, and IT hardware—troubleshooting issues and coordinating repairs promptly.

Arrange general office maintenance, such as HVAC servicing or facility upgrades, as needed.
Event & Logistics Coordination

Organize internal and external meetings, including room setups, agendas, and follow-ups.

Handle catering for meetings, executive lunches, or events, selecting reliable suppliers and managing budgets.
Supplies & General Administration

Manage procurement and inventory of office supplies, stationery, and essentials to prevent shortages.

Perform general office administration, including filing, record-keeping, correspondence, and ad-hoc tasks with efficiency.
Key Requirements

Experience: 6 – 10 years as an Executive Assistance for a C-Suite Director, ideally in retail or fast-paced corporate environments; proven expertise in diary management and travel arrangements.

Personal Attributes: Extremely organized, very professional, mature demeanor, and exceptional multitasking ability under pressure.

Skills: Excellent computer literacy (advanced MS Office, email systems, VC platforms like Zoom/Teams); superior English communication skills (verbal and written).

Education: Matric (Grade 12) essential; Diploma in Office Management or Administration advantageous.

Advantageous: Prior retail/fast-paced experience; familiarity with South African office compliance
