Purpose
The purpose of this role is to ensure the efficient, cost-effective, and compliant procurement of all fleet-related assets and services, ranging from trucks and vehicle parts to lubricants, tyres, tools, and service contracts. The role supports uninterrupted fleet operations by maintaining optimal inventory levels (re-order quantities), managing supplier relationships, forecasting workshop requirements, and warranties, and service agreements.
It also provides analytical support through lifecycle cost assessments and procurement KPI tracking, while maintaining accurate procurement documentation and ensuring adherence to company policies and regulatory requirements.
Key Responsibilities
· Source, evaluate, and procure trucks, vehicle parts, lubricants, tires, tools, and service contracts.
· Liaise with suppliers, manufacturers, and service providers to ensure best-value purchasing.
· Monitor and maintain parts inventory to avoid operational downtime.
· Assist in lifecycle cost analysis of trucks and vehicle components.
· Ensure timely renewal of registrations, warranties, and service agreements.
· Coordinate with workshop/fleet teams to understand and forecast parts requirements.
· Track procurement KPIs such as lead times, cost savings, and vendor performance.
· Review and manage all procurement documentation, including POs, invoices, delivery notes, and contracts and reporting.
· Ensure compliance with company procurement policies and industry regulations.
Minimum Requirements:
· Diploma or Degree in Supply Chain Management.
· Diploma or Degree in Procurement or Purchasing Management.
· Diploma or Degree in Logistics or Fleet Management.
Professional certificates (Added advantage)
· CIPS – Chartered Institute of Procurement & Supply (Level 4–6)
· SAPICS – Supply Chain Management (various levels)
· CILT – Chartered Institute of Logistics and Transport
· Fleet management certification (NAFA or equivalent)
· Contract Management Certification
Competencies
· Strong negotiation and supplier relationship management
· Proficiency in procurement or ERP software (e.g., Pastel, SAP, Oracle, Sage).
· Inventory management and stock control experience.
· Strong organizational, analytical, and decision-making skills.
· Good communication and reporting abilities.
