Air Freight Import Controller Position: Air Freight Import Controller Location: Brackenfell, Cape Town Job Type: Full-Time About the Role We are seeking a highly organized and detail-oriented Air Freight Import Controller to join our dynamic logistics team. In this role, you will be responsible for managing the end-to-end import process for air freight shipments, ensuring seamless operations, regulatory compliance, and exceptional customer service. The ideal candidate will have a strong background in air freight logistics, excellent problem-solving skills, and the ability to build strong relationships with clients and service providers. Key Responsibilities Import Operations Management • End-to-End Shipment Coordination: Manage the complete import process from placing orders with overseas suppliers to liaising with international agents, airlines, and co-loaders to ensure seamless operations. • Flight Scheduling & Monitoring: Track flight schedules, airport activities, and routing to optimize shipment planning and minimize delays. • Cargo Management: Coordinate cargo loading, book freight space, and ensure efficient utilization of airline capacity. • Operational Oversight: Ensure accurate and timely data entry into our logistics management system (e.g., Shipshape). Documentation & Compliance • Document Verification: Thoroughly check and process all shipping documentation, including air waybills (AWBs), certificates of origin, customs declarations, and import permits. • Regulatory Compliance: Ensure all import activities comply with South African customs regulations, international trade laws, and aviation safety standards. • Certificate Processing: Handle the processing of Certificates of Origin, EUR1, SADC, and GSP certificates as required. • Customs Clearance: Coordinate customs clearance procedures and liaise with customs authorities to ensure timely release of cargo. Client Relations & Communication • Customer Service Excellence: Act as the primary point of contact for key clients, addressing inquiries, resolving issues, and maintaining strong customer relationships. • Status Updates: Provide accurate and timely updates to clients regarding shipment status, potential delays, and delivery schedules. • Issue Resolution: Proactively identify and resolve operational challenges, ensuring minimal disruption to client operations. • Relationship Management: Build and maintain strong relationships with airlines, carriers, freight forwarders, and service providers. Financial & Administrative Functions • Cost Management: Monitor and control air freight-related expenses, including freight rates, storage charges, handling fees, and other associated costs. • Rate Negotiation: Collaborate with airlines and service providers to negotiate competitive rates and secure capacity. • Invoicing & Documentation: Prepare estimates for logistics quotes, manage invoicing processes, and ensure accurate financial documentation. • Performance Monitoring: Track key performance indicators (KPIs), including on-time delivery, shipment accuracy, and cost performance. Logistics Coordination • Transport Coordination: Communicate with transporters regarding delivery schedules, special handling requirements, and delivery confirmations from the airport to the final destination. • Flight Documentation: Request and process flight documentation from carriers. • Clearing Instructions: Collect and process clearing instructions from airlines and ensure timely execution. • Delivery Management: Coordinate final delivery arrangements and ensure complete customer satisfaction. Qualifications and Skills • Proven experience as an Import Controller, specifically within air freight logistics. • In-depth knowledge of air freight operations, customs regulations, and international trade laws. • Proficiency in logistics management software (e.g., Shipshape). • Strong negotiation and cost management skills. • Excellent communication and interpersonal abilities. • Ability to work under pressure and resolve issues proactively.
