Purpose of the role
The Supply Chain Inventory Coordinator supports the effective control and monitoring of inventory across local and international warehouses, as well as third-party manufacturing sites. The role focuses on maintaining accurate stock records in Sage Intacct, monitoring product shelf life and lot expiry dates, managing excess stock, and ensuring stock availability to support sales performance.
This is a hybrid role requiring both office-based analytical work and on-site engagement within warehouse and operational environments. The position plays an important role in protecting inventory value, minimising write-offs, and ensuring the right stock is available in the right place at the right time. The role works closely with the Supply Chain Planner to support replenishment planning and demand alignment.
Key Responsibilities:
Inventory System Control (Sage Intacct)
• Capture and process stock transactions accurately in Sage Intacct.
• Maintain accurate inventory records across all sites.
• Investigate and resolve stock discrepancies.
• Support reconciliation between physical stock and system records.
Stock Availability & Sales Support
• Monitor stock levels to ensure availability in support of sales demand.
• Proactively identify potential stock shortages and escalate risks early.
• Work closely with the Supply Chain Planner to support replenishment planning and demand alignment.
• Assist in balancing stock between sites to optimise availability and minimise excess.
Shelf Life & Lot Expiry Management
• Monitor product shelf life and lot expiry dates across all warehouses.
• Track short-dated and expiring stock and escalate risks timeously.
• Assist in implementing action plans to reduce expiry-related losses.
• Ensure correct lot tracking and batch traceability within Sage Intacct.
Excess & Stock Level Monitoring
• Identify excess, slow-moving, and obsolete inventory.
• Review stock levels at all third-party manufacturing plants, UK warehouses, and South African warehouses.
• Highlight overstocking or understocking risks to management.
• Support stock balancing and transfer recommendations where applicable.
Online & Retail Stock Operations Support
• Monitor stock usage trends and sales patterns to support timely replenishment.
• Drive proactive replenishment planning for both the online store and the retail-facing warehouse, iMvula.
• Work closely with relevant teams to maintain optimal stock availability while minimising excess and short-dated risk.
• Provide operational support from time to time within online stock operations as required.
Stock Takes & Audits
• Assist in coordinating cyclical and annual stock takes.
• Prepare stock take documentation and variance reports.
• Participate in on-site stock counts at warehouses and manufacturing locations where required.
• Support audit preparation by ensuring accurate supporting documentation.
Reporting
• Prepare inventory reports including stock ageing, expiry tracking, excess and slow-moving stock, and stock availability reports.
• Provide regular inventory updates and highlight key risk areas to management.
Minimum Requirements:
• Grade 12 / Matric (essential).
• Relevant diploma or certificate in Supply Chain, Logistics, or Finance (advantageous).
• 1–3 years’ experience in inventory, warehouse administration, or stock control.
• Experience working on Sage Intacct (advantageous).
• Strong Microsoft Excel skills.
• Experience with Power BI or other dashboard tools will be advantageous.
• Experience in a manufacturing environment is preferred.
