Quality Assurance Manager CORE PURPOSE

Take charge of quality assurance and compliance across academic administration, student records, and regulatory reporting, ensuring everything from enrolment to graduation stands up to scrutiny and runs like a well-tuned machine.

CORE RESPONSIBILITIES

Manage, review, and quality assure all regulatory submissions to bodies such as DHET, SAQA, and CHE, ensuring accuracy, completeness, and full compliance

Coordinate and support internal/external audits, accreditation visits, and quality assurance reviews across all campuses

Prepare and maintain documentation for regulatory submissions, programme reviews, and institutional reporting

Implement and monitor compliance with policies on assessments, certification, records retention, academic integrity, and related areas

Quality assure academic and administrative policies and procedures, identifying gaps, risks, and improvement opportunities

Contribute to the development and review of academic policies, including admissions, assessment, progression, and graduation

Act as a key point of contact for academic administration matters for students, academic staff, and external partners

Resolve complex student queries around registration, progression, assessments, and certification

Collaborate closely with academic departments, finance, student support services, and campus management to align processes and streamline communication

Manage communication of academic policies, procedures, deadlines, and critical announcements

Ensure data accuracy, completeness, and consistency across all academic systems

Generate institutional reports, including enrolment statistics, throughput and graduation data, and compliance reports

Support data provision for strategic planning, governance structures, and audits

Oversee secure storage and archiving of academic records in line with policy

Develop and manage a master project plan to track compliance across each campus

Conduct regular meetings with divisional and functional heads to share regulatory and compliance updates

Travel to various campuses to conduct compliance reviews, evaluations, and follow-up on findings

Work closely with senior academic leadership to boost regulatory efficiency and quality standards

Support applications for international affiliations and accreditations

Contribute to the National Learners’ Records Database through accurate data collection, verification, and timely submissions

Review academic programmes, curriculum structures, and assessments for alignment with regulatory frameworks

Conduct scheduled and ad hoc academic audits (programme, course, and exam audits)

Evaluate academic quality assurance systems, including teaching effectiveness, student support services, and learning outcomes

Recommend improvements to strengthen academic governance, compliance, and operational efficiency

Ensure academic misconduct incidents are documented, investigated, and resolved appropriately

Maintain and quality assure the register of evidence and keep the QA repository up to date

MINIMUM REQUIREMENTS

Bachelor’s degree in Education, Higher Education Administration, Public Administration, or a related field (Honours/Master’s preferred)

Certification or formal training in quality assurance, compliance, or auditing is an advantage

Strong, current knowledge of South African higher education regulatory frameworks (DHET, SAQA, CHE)

Solid understanding of academic policies, accreditation processes, and institutional governance

EXPERIENCE NEEDED

5–8 years’ experience in higher education administration, registrar services, or academic quality assurance

Proven track record managing:

Regulatory submissions and compliance processes

Academic audits and accreditation reviews

Student records and academic administration systems

Experience working across a multi-campus environment (highly beneficial)

Demonstrated ability to interpret legislation and translate it into practical institutional policy and processes
