Job Details

  1. Payroll processing
  • Process monthly payroll for all the business South Africa’s employees
  • Manage integration file between Workday, SAGE People 300 and Eco-time
  • Support to managers and associates on Workday
  • Calculate and process monthly commission and sales incentives
  • Annual calculation and processing of Sales Bonuses, Employee Bonuses and Management Bonuses
  • Administration of new or terminated employees in relation to medical aid and provident fund additions/withdrawals
  • Monthly maintenance of ESS and review of submitted claims
  • Prepare and review Payroll variance report together with Financial Controller
  • Upload payroll file into Netbank business for batch payment and authorisation
  • Maintain general ledger module in VIP for monthly extraction, review, reconciliation and input into Aurora
  • Accruals and prepayment entries related to Payroll
  • Responding to any payroll queries and providing payslip copies where necessary
  • Preparation and submission of any ad hoc payroll reports (Smart reporting)

 

  1. Payroll Forecasting
  • Monthly preparation of year to date actuals vs budget report
  • Quarterly update of forecast salaries
  • Annual budget for salaries

 

  1. Statutory HR reporting and submissions
  • Annual calculation and submission of Workman’s Compensation report
  • Preparation and submission of all statutory Payroll related reports (UIF, EMP201 etc)
  • Managing IRP5’s for bi-annual and Tax Year End periods
  • Compilation and submission of BBBEE file to verification agency in conjunction with Country Manager
  • Compilation and submission of annual Employment Equity report in conjunction with consultant and EE committee

 

  1. Training and Development
  • Compilation and submission of Annual Training Report in conjunction with external consultant and Country Manager for onward submission to wholesale and retail SETA
  • Train managers on HR policies
  • Coordinate procedural requirements associated with personnel development initiatives
  • Structuring of skills development plan
  • Provide training on Workday to all employees as and when required
  • Monthly reporting on training spend and variance report to budget

 

 

  1. HR Contracts and documents
  • Receive and review copies of all employment contracts and maintain employee records
  • Annual update of Sales bonus targets and incentives in conjunction with National Sales Manager
  • Annual update of Sales Agent contracts in conjunction with National Sales Manager
  • Regular review and maintenance of Employee Handbook in conjunction with the Financial Controller
  • Update archive records of all documentation stored off site.

 Role Reports Into: 

Financial Controller with a dotted line to HR Regional Manager

Key Measures:

  1. Deliver all reporting on time.
  2. All reports are accurate
  3. Salaries paid on time.
  4. Contracts are signed in full and up to date 

Outcome Statements:

  • All reporting is delivered on time..
  • Payroll processed accurately and timeously
  • Contracts are up to date and easily accessible
  • Compliance with HR statutory reporting 

Qualifications / Experience required:    

  • Complete Matric
  • Payroll related qualification
  • 1-2 years’ experience in a Payroll Administration role (beneficial)
  • Understanding of Finance or Bookkeeping
  • Advanced excel
