Job Summary:

We are seeking a highly organized and personable individual to serve as the first point of contact for our office while also supporting day-to-day administrative operations. This dual role combines front desk responsibilities with a variety of administrative tasks, requiring excellent communication skills, attention to detail, and the ability to multitask effectively.

Key Responsibilities:

Reception Duties:

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer, screen, and forward incoming phone calls.
  • Manage the reception area to ensure it is tidy and presentable.
  • Handle incoming and outgoing mail and deliveries.

Administrative Duties:

  • Provide general administrative support to staff and departments.
  • Schedule and coordinate meetings, appointments, and room bookings.
  • Assist with data entry, filing, and document management.
  • Prepare and distribute internal communications, reports, and memos.
  • Manage Quotes, Orders and Invoicing.

Requirements:

  • Proven experience as a receptionist, administrative assistant, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Must be able to communicate efficiently in English and Afrikaans.
  • Strong organizational and time-management abilities.
  • Professional appearance and demeanor.
  • Ability to handle sensitive information with discretion.
  • Need to live in the Centurion area.

Preferred Qualifications:

  • Experience with office equipment.
  • Experience with managing and handling Courier deliveries.
  • Familiarity with OMNI Accounting a bonus.
  • Certificate or diploma in business administration or a related field.
