Job Summary:
We are seeking a highly organized and personable individual to serve as the first point of contact for our office while also supporting day-to-day administrative operations. This dual role combines front desk responsibilities with a variety of administrative tasks, requiring excellent communication skills, attention to detail, and the ability to multitask effectively.
Key Responsibilities:
Reception Duties:
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls.
- Manage the reception area to ensure it is tidy and presentable.
- Handle incoming and outgoing mail and deliveries.
Administrative Duties:
- Provide general administrative support to staff and departments.
- Schedule and coordinate meetings, appointments, and room bookings.
- Assist with data entry, filing, and document management.
- Prepare and distribute internal communications, reports, and memos.
- Manage Quotes, Orders and Invoicing.
Requirements:
- Proven experience as a receptionist, administrative assistant, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Must be able to communicate efficiently in English and Afrikaans.
- Strong organizational and time-management abilities.
- Professional appearance and demeanor.
- Ability to handle sensitive information with discretion.
- Need to live in the Centurion area.
Preferred Qualifications:
- Experience with office equipment.
- Experience with managing and handling Courier deliveries.
- Familiarity with OMNI Accounting a bonus.
- Certificate or diploma in business administration or a related field.
