Job Description
|
We are looking for a detail-oriented and reliable Bookkeeper to support the day-to-day financial operations of two business entities: a data storage and backup company and a SaaS (Software-as-a-Service) business. Reporting directly to the Senior Financial Manager, this role is central to maintaining the accuracy and integrity of financial records across both companies.
The ideal candidate is organised, methodical, and comfortable working across multiple sets of books simultaneously. They will be responsible for transactional processing, reconciliations, and supporting the finance team with month-end and compliance tasks. Core duties and responsibilities
|
1. Bookkeeping & Transactional Processing
- Accurately capture and process all financial transactions for both entities, including sales invoices, purchase invoices, expenses, and journals.
- Maintain up-to-date and accurate records in the accounting system for each entity separately.
- Process and reconcile accounts payable and accounts receivable ledgers on a regular basis.
- Capture and allocate receipts and payments, ensuring correct coding to the relevant cost centres and accounts.
- Process employee expense claims, verify supporting documentation, and ensure timely reimbursement.
2. Bank & Account Reconciliations
- Perform weekly and monthly bank reconciliations for all bank accounts across both entities.
- Reconcile balance sheet accounts including creditors, debtors, VAT, and inter-entity accounts.
- Identify and resolve discrepancies or unallocated transactions promptly.
- Maintain a clear audit trail for all reconciliations and adjustments.
3. Accounts Payable & Receivable
- Process supplier invoices accurately and timeously, ensuring correct approval and authorisation prior to payment.
- Prepare and run weekly or monthly payment runs for review and approval by the Senior Financial Manager.
- Issue customer invoices for recurring subscriptions, service contracts, and ad hoc billings across both entities.
- Follow up on outstanding debtor accounts and assist with collections where required.
- Maintain supplier and customer account records, ensuring contact details and payment terms are kept current.
4. VAT & Statutory Compliance Support
- Capture VAT on all applicable transactions in accordance with relevant tax legislation.
- Assist the Senior Financial Manager in preparing VAT returns and supporting schedules for submission.
- Maintain organised records of all tax-related documentation to support compliance and audit readiness.
- Flag any unusual transactions or tax queries to the Senior Financial Manager for review.
5. Month-End Support
- Assist with month-end close procedures, including processing accruals, prepayments, and recurring journals as directed.
- Prepare month-end reconciliation schedules and ensure all accounts are balanced and reconciled prior to close.
- Provide supporting documentation and schedules to the Senior Financial Manager for management accounts preparation.
- Ensure the accounting system is updated and tidy at month-end, with no unallocated or suspense items outstanding.
6. Payroll Support
- Assist with payroll processing or coordinate with the payroll provider to ensure accurate and timely payroll runs.
- Capture payroll journals and ensure payroll-related liabilities are reconciled monthly.
- Maintain employee payroll records and support PAYE/UIF or equivalent statutory submissions.
7. Filing, Record-Keeping & Systems
- Maintain a well-organised digital and physical filing system for all financial documents, invoices, receipts, and statements.
- Ensure all records are stored securely and in line with document retention policies.
- Operate and maintain the accounting software (e.g. Xero, Sage, or similar) efficiently and accurately.
- Flag system issues, data discrepancies, or process gaps to the Senior Financial Manager.

Experience
|
- Minimum 2–3 years of proven bookkeeping experience, preferably across multiple entities or company books.
- Proficiency in cloud-based accounting software such as Xero, Sage, QuickBooks, or similar.
- Solid understanding of double-entry bookkeeping principles and basic accounting concepts.
- Experience with bank reconciliations, accounts payable, accounts receivable, and VAT processing.
- Strong Microsoft Excel skills for reconciliations.
- High level of accuracy, numeracy, and attention to detail.
