Mission of the Role:
To be the operational architect of the businesses transformation into a world-class SaaS company. You will be the engine room of our strategy, responsible for translating our ambitious vision into the slick, efficient, and scalable processes and systems that will drive our growth. This is a unique opportunity to build the operational backbone of a company from the ground up, with a direct impact on our success.
Key Responsibilities:
â 1. Process Architecture & Optimisation:
â Map, analyse, and redesign all core business processes to support our new SaaS model, including the PCP Partner lifecycle, doctor onboarding, sales funnels, and customer support workflows.
â Work directly with department heads to identify bottlenecks and inefficiencies, implementing practical solutions that save time and improve quality.
â Document all processes in a clear, accessible way to create a “single source of truth” for how the business operates.
â 2. Systems Implementation & Management:
â Lead the selection, implementation, and ongoing administration of our core business systems, starting with our CRM (e.g., HubSpot, Zoho).
â Design and build out automated onboarding flows for new doctors and PCPs to create a seamless, low-touch experience.
â Ensure all our systems (CRM, LMS, support desk, etc.) are properly integrated and that data flows cleanly between them to provide a holistic view of the customer.
â 3. Business-to-Tech Translation:
â Act as the critical bridge between the commercial/operational teams and the software development team.
â Gather business requirements from stakeholders (e.g., “Our PCPs need a better way to track referrals”) and convert them into clear, actionable technical requirements and user stories for the engineering team.
â Participate in sprint planning and review meetings to ensure that what we are building directly solves the business problem it was intended to.
What We’re Looking For (Skills & Experience):
â Experience: 3-5 years of experience in a Business Analyst, Systems Analyst, or Operations role, ideally within a B2B SaaS or technology startup environment.
â Systems Expert: Demonstrable, hands-on experience implementing and administering a CRM from scratch is essential.
â Process Mapper: You are a natural systems thinker who loves whiteboarding workflows and using tools like Lucidchart, Miro, or Visio to bring clarity to complex processes.
â Tech Translator: You are fluent in the language of both business and technology and have experience writing clear requirements documents or user stories for a technical audience.
â Proactive & Autonomous: You are a self-starter who thrives in a fast-paced environment. You don’t wait for instructions; you identify problems and start building solutions.
â Exceptional Communicator: You can confidently interview a senior stakeholder, document their needs, and present your findings and recommendations clearly.
Bonus Points (The “Nice-to-Haves”):
â Experience in the HealthTech or MedTech industry.
â Experience with Agile/Scrum software development methodologies.
â Basic data analysis skills (e.g., using Excel, SQL, or BI tools to pull insights from business data).
