Job Summary

We are seeking a highly motivated and experienced Sea Freight Import Controller to join our dynamic logistics team in South Africa. The successful candidate will be responsible for managing the complete sea freight import process, from initial order placement through to final delivery. This role requires exceptional attention to detail, strong organizational capabilities, and the ability to excel in a fast-paced, deadline-driven environment while maintaining the highest standards of customer service.

 

Key Responsibilities

 

Import Operations Management

  • End-to-End Shipment Coordination: Manage the complete import process from placing orders with overseas suppliers, liaising with international agents, shipping lines, and co-loaders to ensure seamless operations
  • Vessel Scheduling & Monitoring: Track vessel schedules, port activities, and shipping routes to optimize shipment planning and minimize delays
  • Container Management: Coordinate container loading, booking cargo space, and ensure efficient utilization of container capacity
  • Operational Oversight: Ensure accurate and timely data entry into Shipshape

Documentation & Compliance

  • Document Verification: Thoroughly check and process all shipping documentation including bills of lading, certificates of origin, customs declarations, and import permits
  • Regulatory Compliance: Ensure all import activities comply with South African customs regulations, international trade laws, and maritime safety standards
  • Certificate Processing: Handle processing of Certificates of Origin, EUR1, SADC, and GSP certificates
  • Customs Clearance: Coordinate customs clearance procedures and liaise with customs authorities as required

Client Relations & Communication

  • Customer Service Excellence: Act as the primary point of contact for key clients, addressing inquiries, resolving issues, and maintaining strong customer relationships
  • Status Updates: Provide accurate and timely updates to clients regarding shipment status, potential delays, and delivery schedules
  • Issue Resolution: Proactively identify and resolve operational challenges, ensuring minimal disruption to client operations
  • Relationship Management: Build and maintain strong relationships with shipping lines, carriers, freight forwarders, and service providers

Financial & Administrative Functions

  • Cost Management: Monitor and control sea freight-related expenses including freight rates, demurrage charges, detention fees, and other associated costs
  • Rate Negotiation: Collaborate with shipping lines and service providers to negotiate competitive rates and secure capacity
  • Invoicing & Documentation: Prepare estimates for logistics quotes, manage invoicing processes, and ensure accurate financial documentation
  • Performance Monitoring: Track key performance indicators (KPIs) including on-time delivery, shipment accuracy, and cost performance

Logistics Coordination

  • Transport Coordination: Communicate with transporters regarding delivery schedules, special handling requirements, and delivery confirmations
  • Shipped on Board Documentation: Request and process shipped on board documentation from carriers
  • Clearing Instructions: Collect and process clearing instructions from shipping lines and ensure timely execution
  • Delivery Management: Coordinate final delivery arrangements and ensure customer satisfaction
