21 Job Application Follow-Up Email Templates That Sound Human

21 Job Application Follow-Up Email Templates That Sound Human

You found the role. You tailored your CV. You clicked send. And now there is silence.

Following up can feel awkward. You want to show genuine interest, but you do not want to sound impatient, desperate or like a robot generated your email in three seconds.

The good news is that a job application follow-up email does not need to be long. It only needs to remind the recruiter who you are, which role you applied for and why you are worth another look.

Here are 21 templates you can adapt and send.

When should you follow up?

Unless the job advert gives different instructions, wait around five to seven business days after applying. If the closing date has not passed yet, wait until it has.

Keep your message short, polite and specific. One thoughtful follow-up is more effective than repeatedly asking, “Any update?”

Always personalise the template before sending it. Add the person’s name, the correct job title and one detail that proves you are genuinely suited to the role.

What should your follow-up email include?

A strong job application follow-up email needs only five things:

  • The correct name of the recruiter or hiring manager
  • The exact job title
  • The date or platform through which you applied
  • One clear reason you fit the role
  • A polite, low-pressure next step

Do not send your entire cover letter again. Give the reader enough information to remember you and make it easy for them to find your application.

What not to write

Avoid emails that sound demanding, vague or overly familiar.

Do not send:

  • “Any news?”
  • “Why have I not heard back?”
  • “I urgently need this job.”
  • “Please respond today.”
  • “I know I am the best candidate.”

Confidence is useful. Pressure is not.

Frequently asked questions

How long should I wait before following up on a job application?

Wait around five to seven business days unless the job advert provides a timeline. If applications are still open, wait until after the closing date.

Should I attach my CV again?

Attach it if you applied through a portal, if the recruiter may struggle to locate the original application or if you have updated it. Otherwise, a simple offer to resend it is enough.

Can following up hurt my application?

A short and professional email is unlikely to count against you. Repeated messages, daily calls or demanding language can create the wrong impression.

What if the advert says not to contact the company?

Follow the instruction. Attention to detail matters, and ignoring a clear request will not help your application.

What if I still receive no reply?

Send one final follow-up, then move on. Keep applying, keep networking and leave the door open professionally.

One final rule

Do not copy and paste any of these emails word for word without changing them.

The template gives you the structure. Your detail gives it credibility.

Mention the actual role. Use the person’s real name. Add one relevant skill, result or reason for applying. That small amount of effort is what makes the email sound human.

A good follow-up will not manufacture experience you do not have. It can, however, make sure the right person notices the experience you do have.
